What email automation work covers

In Mailchimp's automation flows (opens in a new tab), a trigger is an event or action that adds a contact to the flow, and the flow is made of the triggers, actions and rules you set.

In HubSpot's workflows (opens in a new tab), enrollment triggers are criteria that enroll records in a workflow automatically. HubSpot's own example enrolls every contact who submitted a specific form, sends them a marketing email and assigns them to a user.

Before anything is built, list which form, CRM field or app event should start each sequence, and confirm that the data reaches your email platform.

In both tools, triggers look forward: Mailchimp's flow triggers apply only to actions or events after the flow is activated, and HubSpot generally enrolls only records that meet the triggers after the workflow is turned on.

HubSpot lets you choose whether records that already meet the triggers are enrolled when the workflow is switched on. Decide before launch whether the contacts already on your list should enter a new sequence.

The sending setup under your automations

Check the sending setup before the first automated message goes out.

Google's sender guidelines (opens in a new tab) ask you to verify that your email service provider authenticates your domain's email with SPF and DKIM, and recommend setting up SPF, DKIM and DMARC for your domains.

If you send more than 5,000 messages a day to personal Gmail accounts, Google requires your marketing and subscribed messages to support one-click unsubscribe.

DemiSignal's free check (opens in a new tab) reads only the public DNS records of the domain you enter, with no account needed, and tries commonly used DKIM selectors. A DNS finding shows how your domain is set up, not where a particular message landed. What the records do:

  • SPF lists the servers allowed to send email for your domain.
  • DKIM signs your outgoing email so receivers can confirm it was not changed.
  • Under RFC 9989 (opens in a new tab), DMARC produces a pass when the domain has a DMARC record and the domain in the From address is aligned with a domain that SPF or DKIM authenticated. Its record states the domain owner's handling preference for mail that fails, which can influence how receivers treat it.
